Supporting evidence

No more than five pieces of evidence should accompany any nomination.

We recommend you provide a variety of evidence demonstrating the nominee’s excellence, such as witness testimonies, log book, video, photographs and an assignment.

Within some sectors it does also help to include the nominee’s grades with the nomination. With qualifications where it is difficult to identify excellence, please use the additional information section to support the nomination.

We do not recommend that you send in all the nominee’s work from the entire course – the judges will be unable to look at it all; please choose a representative selection of work to send.

For learners, examples of supporting evidence can include the following:

  • Log book
  • Video (VHS only) or DVD - one per nominee, maximum length 15 minutes. Please also provide a summary sheet that describes its contents.
  • CD-Rom - please also provide a summary sheet that describes its contents
  • Photographs - where possible please provide these digitally on a CD rather than send in hard copies
  • Samples of practical work (must fit in standard A4 box file – 36cm x 24cm x 7cm) No fragile goods will be accepted
  • Assignment
  • Witness testimony
  • Photocopy of competition certificate - please do not send originals.

For lecturer/trainers, examples of supporting evidence can include the following:

  • Colleague testimonies
  • Learner testimonies, or their parents, if appropriate
  • Details of any special projects
  • Information about extra-curricular centre, sector or community involvement
  • Examples of the nominee championing learning e.g. articles in publications, speeches etc.
  • Learner retention and achievement rates.

Please consult the competition rules to find out the regulations on the evidence you can submit.

All pieces of evidence submitted must be marked clearly with the nominee’s name, centre and centre number and comply with the rules and regulations.

Please attach your nomination form in a separate envelope to the outside of your package, and indicate on the outside of your package what sector your nomination is for. This will ensure a much faster receipt and acknowledgement from us indicating that we have received your nomination.

We highly recommend that nominations are sent by guaranteed delivery and that you keep all evidence of postage until you receive our acknowledgement of receipt

Arrangements for the return of evidence

City & Guilds will meet the cost of returning your evidence by guaranteed post to either the candidate or the centre (at the centre’s address detailed on the nomination form) as indicated in the nomination form. Alternatively you may wish to collect your evidence from City & Guilds once the judging is completed. Please indicate your choice on the nomination form.

Please note that whilst we will make every effort to return evidence as promptly as possible, it may be necessary for City & Guilds to hold evidence until the results are announced.
